eSign Digital Forms – A quick guide

 

 

eSign Digital Forms is an innovative way for schools to provide an easy, fast, secure way to send electronic forms or documents, collect parent signatures on any device, store and download trackable responses in PDF format. You can use eSign to collect parent signatures for virtually any type of document. With eSign, you can create a form and request signatures in minutes.

 

Step 1. Creating a new eSign

Click on eSign Digital Forms in the left hand side navigation bar.

 

You will then be directed to the eSign Management Area.

 

Step 1. Click Create New eSign and add the subject line you want your readers to see when you deploy your document, then click Upload Your PDF Form.

 

Step 2. Find and select the PDF you want to edit.

 

You will notice that after selecting your PDF a preview will appear. This is just to confirm that you have selected the correct one.

 

Step 3. Once you have ensured that the PDF you have selected is the correct one, click Create Form.

 

Step 4. Clicking Preview will open a screen similar to that of below which you can enter information but none of which will be saved or stopped if you type too much, this is only a preview of how the final outcome will look when its sent to the recipients.

 

Step 5. Clicking Send Test Email will open the screen below where you can click Submit or Close. In order to submit and send your test email first add your email into the Email Address Field and click Submit.

 

Step 6. Clicking Save will bring you back to the eSign Management Area however this time your new eSign form will appear and ready for sending out. In this section your new options are Share, Preview and Response.

 

Step 2. Sharing your new eSign

When you are ready to Share your new eSign there are 2 options when hovering over the share button, Get Permalink or Deploy Campaign. Using the Permalink option is for public use as anyone can access it if you give it to them, whereas the Campaign option is for subscribers only, so choose whichever option best suits your needs.

 

Deploying an eSign to Subscribers

We highly recommend sending your form as a campaign as ePublisher can identify who has responded. For example responses received via campaign will return like so.

 

And responses received via permalink will return like so.

 

Note that the time selection is in 24hr time so 3:45 is 3:45am and 15:45 is 3:45pm.

 

Sharing via Permalink

Permalinks can be sent via email, added into newsletters or even sent by text.

Clicking the Disable Link checkbox will only disable the link from working and not stop the eSign working, if you wish to stop the eSign globally you need to click the Tick in the Status column to make it inactive.

 

Once the recipients of your eSign open the eSign document they are able to click in the field boxes and enter text or sign with their mouse or finger depending on what device they are using. This will then be saved and is automatically added to the Responses Area.

 

If someone filling out a field tries to go over a single line fields maximum length the form will disable typing in that field from the maximum on, and if they try typing more than a multi-line field allows it will show a red box around the field, a red notice at the top of the page saying Please reduce text content size and will disable the Submit button.

 

Once your participants have filled out the form and clicked Submit they will be redirected to another page saying thank you and that the form has been submitted successfully.

Step 3. Viewing and Saving your Responses

In the Responses Area initially there are 2 options, these are Individual Responses and Permalink Responses. Individual Responses are those that you receive from Deploying your eSign to your subscribers, whereas Permalink Responses are those that you receive from anyone who has submitted the form through the permalink (if you used that method).

In each section there are a few options available to you for use. These are Download (download all), Magnifying Glass (view) and the Download Button next to view (download single responses).

  1. Clicking the Download All button will download all the responses you received at once in a zip folder.
  2. Clicking the Download Single button will download only that response.
  3. Clicking View will open a preview of that response but not download it.
